Thank you for using Hubert in the quest for your next job. We fully acknowledge and understand the importance of the task at hand. This is especially important as we ask you to share personal information with us via our service. Personal data is any information that can be used to, directly or indirectly, identify you as an individual. This policy describes how we collect and process your personal data and presents you with information about your rights with respect to such data. Hubert will act as the data controller of your personal data in our process.

Your rights
Under the General Data Protection Regulation, also known as GDPR, you, as an individual, have the right to access your personal data by requesting a transcript of records and to rectify your personal data if any information about you is incomplete or inaccurate.

You also have the right to ask us to erase your personal data or to stop using it in a certain way or for a certain purpose. If obliged to erase your personal data, we may decide if the personal data will be erased by deletion or by anonymization. You may have the right to request that your personal data be transmitted to another controller (so called data portability), if technically possible and depending on the legal ground for the processing.

Please do not hesitate to contact Hubert if you have any questions or complaints about the processing of your personal data or if you want to exercise your rights (for instance if you want to demand rectification or access your personal data). The personal data
When using Hubert, we may collect and process the following categories of information about you:


Personal information: Name, personal ID number, contact details, such as e-mail address, telephone number, home address.

Work related information: This category includes background information, such as experience, education, and credentials, both from third parties (which may include information from references, public records, social media and similar) and your CV and cover letter, and other information you share with Hubert in the interview or in various tests, including results from such tests, or in direct contact with our team. It also includes information about your current employment and your interests and ambitions, for instance if you are looking for positions for future employment.

Demographic information: Age and gender, but only for the purpose to ensure that our and our client’s recruitment processes are non-biased.

Indirect identifiers: These include, but are not restricted to, IP address (truncated/pseudonymized), browser, strictly necessary cookies, cookies for internal analytics, UUID, Timestamp, Segment ID, and GEO information.

Hubert functionality
How Your Interview is Assessed

Hubert uses AI technology to help employers conduct structured, fair, and consistent interviews during recruitment. Once you begin an interview through Hubert, your responses will be collected and processed by our systems. Here's a high-level overview of how that process works:

Structured AI Interviews
Your interview consists of a predefined set of questions tailored to the specific job role. These questions are created using best practices in recruitment and developed together with the hiring organization.

How Scoring Works
Each answer you provide is analyzed independently using our AI scoring models. Hubert evaluates your responses for specific competencies (e.g., collaboration, problem solving, responsibility), based on what you said and how you expressed your experience. Importantly:Each question is scored on its own, rather than building a judgment based on your overall profile or personal characteristics. This helps ensure fairness and reduces the risk of introducing bias. The scoring is based on clear criteria for what constitutes a good answer to each competency-based question.The results are then compiled into a summary score, which your potential employer can use to compare candidates in a structured and transparent way. Hubert does not make hiring decisions, that responsibility always remains with the recruiter or hiring manager.
Transparency and Fairness
Hubert's scoring engine does not consider your name, gender, age, ethnicity, or other personal attributes in the scoring process. Our system is designed to focus solely on your skills, competencies, and experiences, as expressed in your answers.
Where needed, responses that do not fit typical patterns are flagged for manual review by trained assessors to ensure fairness and accuracy.

You can always see your answers, see overall results, and get feedback on your interview by signing up to My Hubert at using the same email address you used for your interview.

Sharing and transfer
We will share your personal data and results with our client – your potential employer – to assess your profile for the open position. After receiving your personal data, the client will also assume data controller responsibility. We may also share your data with other companies in our group and our subcontractors supplying us with technical support, back-ups, storage, and similar services. In these situations, we will remain the data controller and those who receive the data must not use your personal data for any other purpose than as specified by us. If we transfer your personal data outside the EEA, for instance if our client is based outside the EEA, we will ensure that your personal data is secure. This will be achieved if the state is deemed to have an adequate level of protection by the EU Commission, if other appropriate safeguards have been taken (such as the use of EU model-clauses approved by the EU Commission), or if you explicitly consent to the transfer.

Retention and deletion
We only process and store your personal for as long as it is necessary for the fulfilment of relevant purposes. As a minimum, we will process your personal data until the recruitment process for the open position you applied for is finalized. However, to enable you to be eligible for future job opportunities (e.g., re-using your answers from a previous interview), we will store your data for up to 60 months. If we need to erase your personal data, we may decide if your personal data will be erased by deletion or by anonymization.

Security
It is essential to us to keep your personal data safe and secure. We will always ensure to use appropriate technical, organizational, and administrative security measures to protect any information from loss, misuse, and unauthorized access, disclosure, alteration and destruction. Data is stored on cloud servers in the European Union.

Termination of your account in My Hubert
If you have signed up and created an account for My Hubert, you can delete your account at any time. Just send us an email and we will be happy to delete your account asap

Proprietary rights
Through our site and services we provide content that is copyrighted or trademarked by us, third-party suppliers or licensors, or of users of our services (collectively, “Material” or “Materials”). The materials may, without limitation, include images, logos, video, software, graphics and/or other content. All the material, associated intellectual property and other proprietary rights made available through our site and services are owned by us, third-party suppliers and licensors, or of users of our services, except for any submissions that you have provided and therefore retain ownership of. Except for submitting personal and work-related information to our services, you have no rights in our site, services or any material and are not allowed to edit, copy, modify, reproduce, reverse engineer, create derivative works of, enhance, alter, or in any other way use our site, services, any material, or part thereof, in any way. Should you breach these terms, your account will be terminated, and you must immediately destroy any printed or downloaded materials and cease using our site, services or materials. We also have the right to take legal action, if necessary.

Services
We reserve the right to refuse any candidate to use our services.

We may provide you with access to third-party tools over which we neither monitor nor have any control nor input. You acknowledge and agree that we provide access to such tools ”as is” and “as available” without any warranties, representations or conditions of any kind and without any endorsement. We shall have no liability whatsoever arising from or relating to your use of optional third-party tools.

Any use by you of optional tools offered through the site is entirely at your own risk and discretion and you should ensure that you are familiar with and approve of the terms on which tools are provided by the relevant third-party provider(s).

We may also, in the future, offer new services and/or features through the website (including, the release of new tools and resources). Such new features and/or services shall also be subject to these Terms and Conditions.

Prohibited uses
In addition to other prohibitions as set forth in these Terms and Conditions statement, you are prohibited from using the site or its content: (a) for any unlawful purpose; (b) to solicit others to perform or participate in any unlawful acts; (c) to violate any applicable regulations, rules, laws, or local ordinances; (d) to infringe upon or violate our intellectual property rights or the intellectual property rights of others; (e) to harass, abuse, insult, harm, defame, slander, disparage, intimidate, or discriminate based on gender, sexual orientation, religion, ethnicity, race, age, national origin, or disability; (f) to submit false or misleading information; (g) to upload or transmit viruses or any other type of malicious code that will or may be used in any way that will affect the functionality or operation of the services or of any related website, other websites, or the Internet; (h) to collect or track the personal information of others; (i) to spam, phish, pharm, pretext, spider, crawl, or scrape; (j) for any obscene or immoral purpose; or (k) to interfere with or circumvent the security features of the Service or any related website, other websites, or the Internet. We reserve the right to terminate your use of any of our services or any related website for violating any of the prohibited uses, and at our sole discretion.
